Construction CRM, subcontractor and job costing systems.

Bids in one tool, subcontractor paperwork in an inbox, costs in a spreadsheet and the ledger somewhere else. We build one construction system for the bid pipeline, subcontractor compliance, lien waivers, change orders, crew scheduling and daily job costing, shaped to how your office and crews already run.

Built to your workflow · you own it · starts as a 30-day pilot · the pilot fee credits toward the build

The challenge

The job is on site, the data is in six places.

The McKinsey Global Institute found that large construction projects typically take 20 percent longer than scheduled and run up to 80 percent over budget, with fragmented information and weak coordination among the causes. On smaller jobs the same fragmentation shows up as retyped bids, expired insurance certificates, unpriced extras and a budget nobody sees until closeout.

Paperwork rules keep moving too. For payments made in 2026 the IRS 1099-NEC reporting threshold is $2,000, up from $600, and it is indexed for inflation from 2027. Lien waiver forms and rules vary by state. One system of record turns both into routine instead of month-end cleanup.

What it solves

Where construction software falls short.

The gaps we see most with general contractors, and what the system does about each:

“Bids get retyped into jobs”

→ A bid pipeline CRM that turns a won bid into a job with the estimate, specs and pricing intact.

“An uninsured sub showed up”

→ A subcontractor portal that requires a current COI, license and W-9 before a work order can be accepted.

“Waivers hold up every draw”

→ Lien waivers generated, sent and tracked against each payment, configured for the states you build in.

“Extras turn into disputes”

→ Change orders priced from your cost library, signed by the approver and folded into the revised budget.

“We find overruns at closeout”

→ A daily job costing dashboard comparing committed and actual spend to the estimate, phase by phase.

“Crews double-book”

→ One timeline of projects, crews and equipment, with site details texted to the crew and offline field capture.

Build vs buy

Off-the-shelf or custom?

Procore, Buildertrend and similar platforms are strong products. Here is an honest way to decide which side of the line you are on.

Off-the-shelf platform

Buy when your workflow is standard

A subscription platform is usually the faster start when your projects and paperwork look like everyone else’s.

  • Standard project types and approval chains
  • A team willing to adopt the platform’s process
  • Priced per user or by project volume
  • Your data lives inside the vendor’s product
Custom construction software

Build when the process is your edge

Custom wins when your bidding, subcontractor rules or cost tracking are what set you apart, or when the field and the ledger never agree.

  • Bid, job, subcontractor and cost data on one record
  • Compliance checks that block a noncompliant sub automatically
  • Two-way sync with QuickBooks or Sage
  • No per-seat fees as projects and crews grow

What we build

The deliverables.

  • Bid pipeline CRM with historical pricing and win rates
  • Subcontractor portal with COI, license and W-9 tracking
  • 1099-NEC tracking against the $2,000 threshold
  • Lien waiver generation, e-signature and tracking
  • Change order capture, pricing and approvals
  • Crew and equipment scheduling with offline field capture
  • Daily job costing dashboard by phase
  • OSHA 300 log and incident reports kept five years
  • Accounting and ERP integration
Who it’s for

Made for.

  • General contractors and construction managers
  • Specialty trade contractors
  • Design-build and remodeling firms
  • Multi-crew operators working several sites at once
  • Firms outgrowing spreadsheets and email for subcontractor paperwork
How it gets built

Live in 30 days.

We start with a Blueprint: your bid process, subcontractor requirements, pay applications and cost codes mapped into the system before anything is built. It is priced from $1,500 and the fee credits toward the build.

A 30-day pilot then puts the most painful workflow, often the subcontractor portal or job costing, in front of your team. One core system is a Foundation Build from $2,500; the connected system is a Core Build from $5,000, quoted from the Blueprint.

Questions

Good to know.

Why build custom instead of buying Procore or Buildertrend?
▾

Those platforms fit many contractors. Custom makes sense when your bidding, subcontractor rules or cost codes do not fit their templates, when field data and accounting never agree, or when you want one system you own with no per-seat fees.

How does the subcontractor portal handle compliance?
▾

Subs upload their certificate of insurance, license and W-9 to the portal. The system reads expiration dates, flags anything missing or lapsed, and blocks the sub from accepting work until it is current. Payments are tracked per vendor so 1099 reporting is ready at year end.

Do the lien waivers follow my state's rules?
▾

Waiver forms and rules are set by state law, so we configure the system for the states you work in, including statutory forms where a state requires one. Your attorney or advisor still confirms the requirements.

Will it work on sites with no signal?
▾

Yes. Time, quantities, photos and daily logs are captured offline and sync when the device finds a signal.

What does it cost?
▾

It is quoted to spec. A Blueprint is from $1,500 and credits toward the build, a Foundation Build is from $2,500 and a Core Build is from $5,000. An optional Care Plan is from $150 a month.
