Quick answer: AI agents for business are software that reads a request, decides the next step from your rules and acts in your tools: answering calls, booking jobs, drafting quotes, chasing invoices. For many service businesses the first one is an AI receptionist for small business. Agents work best supervised, with a person handling anything unusual.
Built to your workflow · you own it · starts as a 30-day pilot · the pilot fee credits toward the build
Calls that ring out while the team is on a job. Quote requests that sit until the evening. Appointment reminders, invoice chasers and the same five questions answered again and again. None of it is hard, and all of it takes people away from the work customers pay for.
An AI agent handles that repeated work inside the tools you already use: your phone line, calendar, CRM and inbox. It follows your rules, writes everything to the customer record, and hands anything unusual to a person.

An AI receptionist answers every call, including after hours, answers common questions from your own information, books into your calendar and routes urgent calls to a person.
Agents suit repeated, rule-based work with a clear handoff. Judgment calls, complaints and anything clinical stay with people.
| Task | Suits an agent? | Why |
|---|---|---|
| Answer calls after hours | Yes, with a handoff | Repeated questions, clear routing rules |
| Book appointments into a calendar | Yes | Rules for slots, areas and job length |
| Quote a standard service from a price book | Yes, reviewed by a person | Pricing rules exist; mistakes cost money |
| Chase unpaid invoices | Yes | Same message, set schedule, logged |
| Diagnose a complex problem | No | Needs a trained person on site |
| Handle a complaint or refund | Draft only | Needs judgment and a human voice |
| Give medical or clinical advice | No | Out of scope for any agent |
Agents can be wrong, so they need a narrow job, approved information and a clear way to reach a person.
Announce recording at the start of every call, and for a clinic, only use vendors that sign a Business Associate Agreement.
Call recording. Federal law allows a call to be recorded when one party to it consents (18 U.S.C. 2511(2)(d)). Some states require every party to consent; Florida, for example, requires prior consent from all parties (Fla. Stat. 934.03). Because callers can be in any state, the safe default is a short notice at the start of every call.
Clinics and HIPAA. A covered entity may let a business associate handle protected health information only with satisfactory assurances, documented in a Business Associate Agreement (45 CFR 164.502(e)). An AI receptionist that hears patient details needs a BAA from every vendor in the chain. If a tool will not sign one, it should not answer a clinic’s phone.
This is general information, not legal advice.
Every engagement opens with a Blueprint: your workflow, handoffs and records mapped into a spec before anything is built. It is priced from $1,500 and the fee credits toward the build.
Most systems then start as a 30-day pilot, a working version live with your own team in 30 days and usually faster. One core system is a Foundation Build from $2,500; a connected system is a Core Build from $5,000, quoted from the Blueprint. An optional Care Plan from $150/mo keeps it maintained.

We set the agent to say so at the start of the call. It is the honest default and it avoids confusion when a caller asks for a person.
No. It handles the repeated work so your team spends more time on jobs and customers. Anything unusual is handed to a person.
Yes. It books into the calendar you use and logs every call to the customer record, so nothing lives in a separate tool.
Only with a Business Associate Agreement from every vendor that hears patient information, and with the agent kept away from clinical advice.
A Blueprint from $1,500, credited toward the build, then a Foundation Build from $2,500. Ongoing AI and phone usage depends on call volume and is estimated in the Blueprint.

A Blueprint maps your calls, rules and handoffs, then a working agent goes live as a 30-day pilot.
